Board of Directors Meeting
Association Clubhouse
June 25, 2019
6:30 pm

I. Call to Order/Establish Quorum at approximately 6:30pm

II. In attendance: Board Members Keith Covert, Lyn Deardorff, Michelle Dixon. Will Stanley, CMA Properties. Absent: Blake Breese and Victor Leslie.

III. Previous Meeting Minutes Approved

IV. Appointment of new Board Member, Victor Leslie, was made official.

V. Committee Reports
A. Landscape Committee (Board Liaison – Lyn Deardorff) – Community participation in the water efforts has been very successful and new plantings are doing well.
B. Social Committee (Board Liaison – Blake Breese) – The July 4th Social is confirmed and communication will go out the community. A Book Club was launched Tuesday evening (6/25) and is planning regular gatherings in the Club Room each month. Future events are being discussed to include movie nights and various holiday socials. The Committee continues putting together Welcome Baskets and hand delivering them to new residents.
C. Clubhouse Committee (Board Liaison – Victor Leslie) – A meeting of the Clubhouse Committee was held on Tuesday, June 11 at 6:30p. The decision was made to purchase rocking chairs for the front porch of the Club House. In addition, plans for opening the Club Room to residents for daily use in addition to the current rental program is under consideration.
D. Architectural Committee (Board Liaison – Michelle Dixon) – Bids for the roofing project have been received and are under review. Proposals are being solicited from design firms with regard to exterior painting/color schemes. Anyone interested in serving on Glenwood Green’s Architectural Committee should contact the HOA Board.
E. Ad Hoc Committees:
• Community Outreach – Keith Covert and Victor Leslie are engaging in local groups such as SAND and NPU in order to stay abreast of activity in the area and to represent the interests of Glenwood Green. Anyone interested in attending meetings held by these and other local groups should contact Keith or Victor.
• Safety and Security – Neither the Homeowners Association nor CMA is responsible for the safety and security of residents or visitors of Glenwood Green; however, as a community, we wish to be proactive in safety efforts through resident engagement and the gathering of ideas.

VI. Manager’s Report
A. Waste Management was retained as waste removal contractor.
B. New recycling signage has been ordered to provide more detail on recyclable materials.
C. Directional signage in the common area was repaired.
D. Irrigation repairs were performed.
E. Gutter cleaning was delayed and should be performed before the end of June.
F. Rodent control is being increased.
G. Miscellaneous repairs were performed around the property to include minor gutter, roof, and trim and siding repairs.

VII. Old Business
A. Roof Replacement Project – Ray Engineering delivered additional bids. A conference call is being coordinated between Board Members and Ray Engineering to review the bids.
B. Beltline Access – An Access Agreement has been signed by the HOA and delivered to Atlanta Beltline, Inc. for full execution.
C. Community Yard Sale – The local organization, SAND, has organized a community-wide yard sale that we are hoping to participate in, which will be held on Saturday, August 17 from 9am to 2pm.
D. Detention Pond Overhaul – Project remains on Hold.
E. Property Line fence clean-up – On Hold.

VIII. Financial Report (5/01/19 – 5/31/19)
A. No significant variances to report.

IX. New Business
A. CMA has transferred community rental monitoring services to a firm called RMS (Rental Monitoring Solutions). Blanket communications were sent from RMS to residents at various CMA managed communities without prior review by CMA. In the event you received an email notification from RMS, please note that the content of the communication was not fully applicable, being that Glenwood Green is a Non-Rental Community. CMA will be addressing this over-sight; however, the services that RMS is providing Glenwood Green will be valuable with regard to monitoring unauthorized renting.
B. The HOA Board has retained legal counsel to draft specific language, which follows existing restrictions written in the Glenwood Green By-laws, regarding short term renting, such as AirBNB and Vrbo. A document was approved by the Board and will be distributed to the residents. The Community Rules & Regulations will be updated to include this language.
C. The Board voted to move forward on tree removal and replacement along the retaining wall just outside of the pool area. This is pending approval and permitting from the City.
D. Green pest control/mosquito service is being investigated for effectiveness.
